If you would like to create a mailing list for your class, but are unsure which options you ought to select on the Mailing List Creation form, you can use the following as an example. If you were Dr. John Smith and you were teaching Gardening 101, the options you select might look something like this:
Name: Jane Smith
Phone Number: 713.555.1234
E-Mail Address: jsmith@ruf.rice.edu
(The email address you enter here should appear exactly as your email address appears in the From: field of emails that you send. If you are not sure how your email is configured, send yourself an email message and then look at the From: field. This may sound silly, but the software that handles the mailing list is very picky and only lets subscribers send to the list if that option is set. It recognizes user@ruf.rice.edu and user@rice.edu as two different users.)Purpose of List: Mailing list for Gardening 101
List Maintainer Names: FirstName LastName
(If you have an assistant who will be helping with the class, you can enter their name here.)List Maintainer E-mail Addresses: user@rice.edu
(If you have an assistant, make sure you add the email address that appears in their From: field. Have them send you an email message and check to see what email address it shows.)Desired List-Name: gard101-l
(Warning! If you have created a course account for your class, your email address cannot have the same name as the course account! In this case, if Dr. Smith created a course account gard101, she cannot request a mailing list named gard101, but could request a list gard101-l. Mailing list names can be up to 20 characters, though the longer they are, the harder they are to remember.)1 Line Description of List: Mailing list for Gardening 101
Confidential: No
(This means that people will be able to see that the list exists. It doesn't mean that they will be able to see who is subscribed to the list. If you don't want users to know the lists exists, you can set this option to No.)Rice Only: No
(If you have any students that want to use a mail account other than one from Rice, you should definitely set this to No.)Subscription: By owner
(Setting this option to By owner means that you can decide who can subscribe to the list and who cannot.)Confirm: Yes
(This option determines whether or not users receive a confirmation email when they request to join the list. If you plan to set the Subscription option to By owner, it's a good idea to set this option to Confirm so that students receive an acknowledgment. It may take you a day or two to confirm their request)Review: Private
(Setting the Review option to Private means that only users subscribed to the list can see who else is on the list.)Send: Private
(Selecting this option means that only users subscribed to the list can send mail to the list. You may also want to consider Edited if you would like more control over what gets posted to the list. When Edited is selected, postings are emails to the List Maintainers for approval and editing before they are posted to the list. This can be a good way to guide discussion, but it requires a lot more time and effort on the part of the list maintainers.)Notify: Yes
(By setting this to Yes, the List Maintainers will receive notices when users either join or leave the list.)Reply To: List
(When subscribers reply to a message, this option sets the default reply to go to the list instead of the person who sent the mail. If you are trying to foster group discussion, this is the best option to select. Users can override the option to send mail directly to the sender.)Digest: No
(Digest allows subscribers to receive a single email message with all of the day's submissions in it. This is a handy option for a mailing list with lots of traffic or if a subscriber has a very slow network connection, but for classes at Rice, I'd recommend setting Digest to No.)Renewal: Every 5 months
(Every four months, users will be asked to confirm whether they still want to be subscribed to the mailing list. This will help weed out students no longer in the class. As a mailing list owner, you can unsubscribe students at the end of the semester.)Archive traffic: Yes
(Archiving traffic keeps a record of all postings to a mailing list. While these archives are not currently available via the web, they will be in the near future.)Estimated traffic: 10
(Make a guess at how many email messages you think you and your students will be sending to the list.)
